Terms & Conditions
Declaration
I give permission for my child to attend a Smart Sports’ Academy session and I consent to any emergency medical treatment where necessary. I will provide Smart Sports with any medical information that is relevant to my child’s participation in physical activity.
Data Protection
We will use your details to inform you of other Smart opportunities that we feel are relevant. An email will be sent out each week about the Netball session with details of what has been covered and the progress that has been made. This may include photographs so please ensure that you inform coaches if you do not want your child to be photographed. We do not store credit card details nor do we share customer details with any 3rd parties.
Photography
Smart Sports securely stores any images taken during sessions. No names are stored with images. We will delete images when we are no longer using them.
For all classes there is an opt out policy for photography.

Refunds & Cancellations
If the participant withdraws after being accepted refunds will not be made. In the unlikely event of the course being unable to run Smart Sports will rearrange the sessions or provide credit for the following term.
Insurance & Liability
Our coaches are covered by Public Liability Insurance from the UK.
Smart Sports cannot be held responsible for any act, omission or loss or damage unless proven to be caused by Smart Sports negligence. Smart Sports does not accept responsibility for events which are outside of our direct control.
Personal Property
Unfortunately, our coaches do not have the facilities to store valuable items securely at any of our sites and therefore it is important that you ensure children do not bring valuable belongings to sessions. Smart Sports will accept no liability for loss, damage, vandalism or theft of personal property.
We will operate a lost property system but we cannot guarantee the return of lost items. To allow us to return your lost property, please ensure that all personal items, including all clothing, are clearly labelled with the child’s name.
Drop Off / Collection
Parents / Guardians must sign the register when dropping off and collecting children.
Please inform your coach if somebody different is collecting your child.
Health & Safety
A full risk assessment will be carried out before any activity takes place at a new venue.
Child Protection & Safeguarding
Smart Sports is firmly committed to creating and maintaining a safe and positive environment for all young people to play netball. Smart Sports accepts its responsibility to safeguard the welfare of all young people and protect them from poor practice, abuse and bullying.
Smart Sports Netball Academy follows the practice guidelines of England Netball who have developed a Safeguarding and Protecting Young People in Netball Policy, Procedures and Guidelines that will apply to all individuals involved, paid or in a voluntary capacity.

Smart Sports will ensure that:
• At least one coach present has their First Aid qualifications
• Each child is required to be signed in and out at the beginning and end of each session
• Coaches are DBS checked
Privacy Policy
Smart Sports is committed to ensuring that your privacy is protected. In line with new GDPR regulation this policy is designed to provide a simple explanation to the use of your data within our organisation.
Smart Sports does not hold data on behalf of any other organisation and all the data contained within our system is collected directly from the data source at the point of booking a child on to a class.
When you book a place or are placed on the waiting list, we may collect the following information:
• Parent / guardian’s name, telephone number and email address.
• Attending child’s name, date of birth and any relevant medical information.
Justification for collection below:
• Telephone number to call or text any important class information or as the emergency contact in case of a problem during the session.
• Your email address to inform you when the new term dates are available to book
• The child’s name to add to the class register
• The child attending’s date of birth to ensure that they are participating in the right class
We require this information to be able to provide you with a service. Booking your child, being informed of last-minute cancellations, making sure you are kept informed of new class dates and managing/informing you of your child’s progress
Sharing and holding data
• Unless required to do so by law, we will not share, sell or distribute any of the information you provide to us
• Your data can be viewed by any member of Smart Sports staff. We hold your data on a secure, centralised system.
• In accordance with the GDPR, we do not store personal data indefinitely; data is only stored for as long as is necessary to complete the task for which it was originally collected.
• Emergency contact details and registers are shared with the coaches running the classes. Once the term has ended any paper records are shredded.
• Smart Sports stores images taken from our classes securely. No names are stored with images
• Access to all work computers is password protected. When a member of staff leaves the company, these passwords are changed in line with this policy and our Safeguarding policy. Any portable data storage used to store personal data are password protected
